Absentee Voting for Association

Our association has an annual business meeting at which attendance is mandatory. (If you are absent you must receive the blessing of the e-board)

Every two years we hold elections- the question has come up as to whether we should allow those who miss the meeting to submit an absentee ballot. We have never allowed this before, but that does not mean it is right. I am wondering if other associations allow this and what people think?

We have instituted online voting for board positions. Charter changes are by a show of hands, as long as there is a quorum present at the meeting. Absence from required state interpretation meeting can result in lose of varsity schedule unless you attend another associations state meeting.

Actual enforcement may be selective as we do have a few snowbirds that don't make it back to the state until just before the season starts.

I'm in favor of absentee voting, if the person has a legitimate reason for being gone. With advance notice a member should be given a proxy ballot.

According to our association by-laws:

Neither proxy voting or voting by mail is permitted, with one important exception. If any member is to be out of town the day of the annual high school baseball rules interpretation meeting or not required to attend, he may request an absentee ballot from the Sergeant at Arms. This sealed ballot will be brought to the aforementioned meeting and counted with the ballots cast at that meeting. No ballot received after said meeting will be considered.

The board extends "not required to attend" to those college-level umpires that are working a game that day.

We allow absentee voting for excused absences. This can be for board positions or bylaws.
